Who we are
Trust Leader helps people strengthen trust through guided activities, a Trust Map, reflections and a journal. Where your employer or a coaching organisation has given you access to Trust Leader, that organisation may also be a controller of some of your data. Seewho we share your data with.
Who this policy covers
There are two different situations, and they collect very different amounts of information.
- Visitors to this website. We collect almost nothing unless you fill in a form or agree to analytics.
- People with a Trust Leader account. The platform holds the work you do in it, because that is the point of it.
It also covers other people who may be mentioned in a user’s reflections.
If you only visit this website
Reading this site collects no personal data beyond the following.
- Analytics, only if you agree. If you accept analytics we use Google Analytics 4 to understand which pages and journeys are useful, including whether a visit continued into the platform. If you choose “Essential only”, analytics is never loaded. The Cookies Policy sets out exactly what is stored. Lawful basis: consent.
- The contact form. Your name, email, the topic you choose and your message, used only to answer you. Lawful basis: legitimate interests in responding to an enquiry you sent us.
- Waitlist and sign-up forms. These are provided by Samai and embedded on a few pages. What you enter goes to Samai and then to us, and is used to contact you about the thing you asked for. Lawful basis: consent.
- Hosting and security logs. Our host, Netlify, keeps standard server logs to serve pages and protect the site. Lawful basis: legitimate interests in keeping the site available and secure.
If you have a Trust Leader account
The platform holds:
- Account and profile: name or display name, email, password (stored hashed), role, organisation, your consent choices and basic onboarding progress.
- Your Trust Map: the relationships you choose to map and the trust scores you give them.
- Activity and playlist data: which playlists and activities you start, complete or redo, and the ratings you give them.
- Check-in ratings: the scores you give at the 14, 30 and 60 day check-ins.
- Reflections: free-text reflections you write about activities and your progress.
- Journal: your private journal entries.
- Technical and usage data: device and browser information and log data, used to run and secure the service.
How we use your information, and our lawful basis
- Provide the service — your account, Trust Map, activities, reflections and journal. Lawful basis: contract.
- Keep the service secure and working — fraud and abuse prevention, reliability. Lawful basis: legitimate interests.
- Improve our recommendations using structured signals only. Lawful basis: consent, opt-in, changeable at any time.
- Marketing — quoting anonymised, human-reviewed reflections and ratings. Lawful basis: consent, opt-in, changeable at any time.
- Comply with legal obligations. Lawful basis: legal obligation.
You are never required to give the consent-based permissions in order to use Trust Leader.
Using data to improve recommendations (consent)
If you opt in, we use a limited, structured set of signals to improve our recommendations: your activity ratings, your playlist ratings on the impact on trust, your 14, 30 and 60 day check-in ratings, and which activities you choose to redo. We use these in anonymised and aggregated form, which may include developing automated recommendation features.We do not use your written reflections, and we never use your journal, for this purpose. You can turn this on or off at any time in your profile.
Marketing (consent)
If you opt in to marketing, we may quote your reflections and ratings to promote Trust Leader. We never publish anything automatically: a member of our team reviews and anonymises each quote first, removing anything that could identify you or anyone you mention. We never use your journal in marketing. You can withdraw this consent at any time in your profile.
Your journal is private
Your journal is a personal space. It is visible to you and, if you choose, your coach. We never use journal entries to improve the platform or in marketing. It exists as a safe space for honest reflection.
When reflections mention other people
Trust Leader is about your working relationships, so your reflections may mention other people. Please avoid identifying anyone — refer to people by their role or an initial, and focus on the behaviour and its effect on you rather than names. This matters because your reflections are shared with your coach by default: keep others unidentifiable, or mark a reflection private if it holds sensitive detail about someone else.
Where another person is mentioned, we process that information to provide the service to you, we minimise its use — it never enters our automated improvement engine and is removed before any marketing use — and we will respond to requests from people who believe their data is held.
Who we share your data with
- Your coach or organisation. If you access Trust Leader through a coach or employer, the reflections you record are shared with your coach by default, as part of the coaching relationship, so they can support you and evidence your progress. You can mark any individual reflection as private when you record it. Your journal stays private unless you choose to share an entry. In doing this your coach or organisation acts as a controller of that data. This applies only where you have a coach or organisation, not to individual self-serve accounts.
- Service providers that help us run the service, under contract. See below.
- Legal or safety — where required by law.
We do not sell your personal data.
Service providers and international transfers
We host data in the UK and EU, but some providers operate outside the UK and EEA, so some data may be transferred internationally under appropriate safeguards — the UK International Data Transfer Agreement, EU Standard Contractual Clauses, or an adequacy decision.

Your rights
Under UK and EU GDPR you have the right to access your data, correct it, have it erased, restrict or object to how we use it, take it elsewhere, and withdraw consent at any time without affecting what we did lawfully before. To exercise any of these, contactinfo@thetrustleader.com. We respond within the time limits set by law, normally one month. If you are a person mentioned in someone’s reflection and believe we hold information about you, use the same address.
Retention
We keep your data for as long as your account is active and as needed to provide the service. When you close your account we delete or anonymise your personal data within 30 days, except where we must keep limited records for legal, tax or accounting reasons. Consent records are kept as evidence for the life of the account plus two years. Website enquiries are kept only as long as needed to deal with them.
Children
Trust Leader is an adult, workplace product intended for people aged 18 and over. We do not knowingly collect data from anyone under 18.
Security
We use appropriate technical and organisational measures, including hashed passwords, access controls and UK/EU hosting. No system is perfectly secure, but we work to keep your information safe and will notify you and the regulator of a breach where required.
Changes to this policy
We may update this policy. We post the new version here and, for material changes, tell you. The “last updated” date shows the current version.
